Archiving Documentation

Course Start and End Dates

The following reflects the latest end date that a course can have on our system:

* - Latest End Date reflects the default date during that respective semester. This is a FLEXIBLE date that is updated based on a new semester. Every previous semester's Lasted End Date will be updated with the new semester's Latest End Date. Example - during the Summer 2006 semester, every semester up to Summer 2006 will have a 09/10/2007 Latest End Date. Once the Fall 2006 semester begins, that Last End Date for all previous semesters will be updated to 04/09/2008.
** - Floating Latest Archive Date is based on 120 after the end date of each course. Because of the flexibility of the Latest End Date, it is possible that the course will continue to be updated and will archive.

Courses - Current Policy

Archiving of courses has been updated to simply use the end date of the course verses any kind of manual input by the campus. All courses will be removed from the system 120 days after the end date of the course to aline itself with the incompletion policies of SUNY campuses.

The following communication went out to all SLN MIDs and ACs on 12/23/2005 by Kathy Febraio:

  • Effective immediately, all courses (SLN, CS, CSL and MS) will be archived 120 days after the course end date. This will coincide with SUNY incompletion policies.

Students - Current Policy

The following is directly from an internal communication sent on 04/28/2005 of which verbal discussions and approval of this schedule was given. Orginal parties given this email communication include: Doug Cohen, Israel Washington, Helpdesk7, Tammy Mooney, Patrick Masson.

"Purge schedule of students moving forward will be for one full year. A full year will be defined as from one term to the last start date of the same term the following year. An example of this would be Fall 2004 through last start date of Fall 2005 (11/30/2005). Any students meeting this criteria will be deleted from the production gateway and Student NAB. An "Archive Gateway" will be created in order to retain the records of purged students starting with the Fall 2004 purging."
